Terms of use Policies for CUmail
In June of 2004, a committee of faculty, staff and students was assembled to establish policy for the usage of the e-mail system. The purpose of having these policies is to create an environment that is functional, stable and secure. The Division of Information Technology has authority over these policies to make changes that are deemed necessary for the security and stability of the system.
1. Mailbox Limits - All faculty and staff mailboxes have a size limit of 300MB. A warning e-mail will be sent at 260MB. You will no longer be able to send e-mail out when your mailbox has used 280MB. When you reach 300MB, you will not be able to send or receive e-mail. Student mailboxes have a limit of 150MB with a warning being sent at 125MB and not being able to send e-mail at 140MB.
2. E-mail Address - Everyone has a default email address of FirstNameLastName@creighton.edu if it is available. If the address is already taken then a number will be added to the end of your last name. (George Bush’s email address would be georgebush@creighton.edu).
3. Accessing e-mail From the Web - Web e-mail, called Outlook Web Access (OWA) is available at cumail.creighton.edu.
4. Message Size Limit - The limit on the size of a single e-mail message is 15MB, including attachments, if any.

6. Scheduling of Resources - Guidelines for the scheduling of resources will be determined by the owner of the resource.
7. Supported e-mail Clients and Protocols – E-mail will be accessible by using Outlook Web Access, MAPI, IMAP with Entourage, and RPC over HTTP with Outlook 2003. All of these methods will work from both on campus and remotely except for MAPI, which requires the use of the VPN. For security purposes, SSL is enabled and required.
8. Mobile Services for Exchange - Mobile Services for Exchange which includes activeSync for Exchange and Outlook Mobile Access, are enabled and supported. You can find instructions for these HERE.
9. Mail Forwarding to Other Mail System - Forwarding of e-mail to another mail system must be requested by filling out a web form by logging into AMI with a 48 hour response time during regular Creighton business hours.
10. Blocked Attachment Types - The following attachment types will be blocked from being sent or received: VBS, SHS, JS, COM, BAT, CMD, PIF, SCR, CHM, VB, ASF, HLP, JSE, HTA, HTO, REG, SHB, VBE, WSC, WSF, WSH and EXE.
11. Public Folders - Public folders will have a standard size limit of 25MB, and can be requested by logging on to AMI and filling out a form. There is a 24 hour response time during regular Creighton business hours and then additional folders can be created under the requested folder based on the security rights requested.
12. Multiple e-mail Accounts - Additional e-mail accounts for departmental purposes can be requested by filling out the form on AMI with a 48 hour response time during regular Creighton business hours.
13. E-mail Aliases - Aliases from AMI created prior to August 1st, 2004 will be migrated to Exchange so they will not be lost, but creation of new aliases will need to be requested using the form available on AMI with a 48 hour response time during regular Creighton business hours.
14. Guest Accounts - Guest accounts can be requested by logging on to AMI with a 48 hour response time during regular Creighton business hours. These accounts will be created to automatically expire at the end of the requested period and must include information about how the user of the guest account is associated with the university.
15. Alumni Accounts – Once migration to CUmail is complete we will review our Alumni accounts and determine the resources being used by these accounts and what we can support long-term.
16. Account Cleanup Policy - Student e-mail accounts that have not been logged into for two years will be sent an e-mail informing them that their e-mail account will be deleted in 30 days at which time the account will be deleted. Staff and faculty e-mail accounts will exist as long as the individual is employed by Creighton University. When the staff or faculty member leaves the university, their account will be deactivated, then permanently deleted 60 days later.
17. Deleted e-mail Recovery – E-mails deleted from the “Deleted Items” folder using Outlook or Outlook Web Access will be recoverable for 30 days after they are deleted, after which time they are no longer recoverable. E-mail deleted using a POP3 or IMAP mail client are not recoverable.
18. Archived e-mail - Archived e-mail should be stored on the local machine and it is the student’s, faculty’s or staff’s responsibility to perform backups of those e-mails.
