Voicemail Instructions: East Campus
These are the instructions for using voicemail on the east part of campus, where St. John's church is located.
Logging In to CallPilot Voice Mail
- Pick up the phone and dial 2400
- The system will say "CallPilot from Nortel Networks" "Mailbox"
- Enter the last 4 digits of your phone number, followed by the # sign
- If you are at your desk, just press the # sign, after the system answers "Mailbox"
- Then the system will ask for your six-digit password
- If you are logging in for the first time the password will be
28 and the last four digits of your office phone number
Thus, if your office number is 280-1234, your default password would be 281234
Please note: Three consecutive unsuccessful attemps to log into your voice mailbox will disable access.
Playing your Messages
- To begin, log into your voicemail
- After you have logged in, the system will tell you if you have messages or not
- To play the current message, press 2
- To go to the next message, press 6 or
- To go to the previous message, press 4
- To skip back, press 1
- To skip forward, press 3
- To play message slower, press 21
- To play message faster, press 23
- To decrease the volume, press 24
- To increase the volume, press 26
- To pause press the # sign; to continue press 2
Deleting and Restoring Messages
Before, during, or after playing a message, press 76 to delete it. To restore a deleted message, including a message that has been auto-deleted by the system, return to the message and press 76.
Please Note: Once you hang up the phone and disconnect from voice mail any deleted messages can not be retrieved
Blocking Messaging
You can temporarily prevent your callers from leaving messages in your mailbox. As a courtesy to your callers, you should record a temporary greeting that provides details of your absence and tells callers what to do.
- While logged into your mailbox, press 80 for Mailbox Options, then 7 for Block Messages
- Turn message blocking on or off:
- To turn it on all the time, press 1
- To turn it off, press 2
- To block your message only when a temporary greeting is in effect, press 3
- Decide how to handle callers:
- To allow callers to speak to the custom operator you assigned, press 1
- To have callers disconnected after your greeting, press 2
Responding to Messages
- To call the sender, press 9, speak to the person or leave a message, then hang up
- To reply to a message, press 71, record a reply, then press 79 to send it
- To reply to the sender and all recipients of a message, press 74 to record a reply, then press 79 to send it
- To forward a message, press 73, address the message, then press 79 to send it
- You can record an introduction before sending it
Express Messaging
You can send a message to another mailbox without logging in to your own mailbox.
- Dial the Express Messaging number x2401
- Enter the mailbox number of the person for whom you are leaving the message, then press # sign
- At the tone, record your message, then hang up
Recording a Personal Greeting
- To begin, log into voicemail
- After you have logged in, the system will tell you if you have messages or not
- Press 82
- The system will answer "For your External greeting press 1. For your "Internal greeting press 2"
For ease of maintenance, we encourage you to use only an external greeting. Please use an appropriate, pleasant greeting, such as "You have reached ____________ ; I/We are either on the phone or away from the phone right now. Please leave a message at the sound of the tone and I/we will get back to you as soon as possible."
- Press 5 to record your greeting, press the # sign to end recording
- Press 2 to review your greeting
Recording Personal Verification
- To begin, log into voicemail
- After you have logged in dial 829
- The system will answer with "Personal Verification for mailbox"
- Press the last 4 digits of your office number and press # sign
- The system will answer "Personal Verification is:***"
- To listen to Personal Verification again press 2
- To record press 5
- State your name followed by the # sign, then follow the instructions
Changing Your Password
- To begin, log into voicemail
- After you have logged in, press 84
- The system will answer "Password Change"
- Please enter your old password followed by the # sign
- Then follow the instructions
Recording Zero Option
- To begin, log into voicemail
- After you have logged in, press 80
- The system will answer with "Mailbox options. To review the operator assistance number press 1"
- Press 1
- The system will say, "Operator assistance number. The current number is ____"
- Enter the new operator assistance number, followed by # sign
- To exit, press # sign
Distribution Lists
You can create up to 99 personal distribution lists and the record and record a name to identify each list. Each personal distribution list can contain up to 200 entries. You can enter all of the same types of addresses to which you can send a composed message, except other personal distribution lists.
- To begin, log into your voicemail
- Press 85 for CallPilot Tools
- Press 5 for Distribution Lists
- To play a summary of all your lists, press *
- Enter a number from 1 to 99, then press # sign
- If you want to record a name to help you identify this list in the future, press 9
- At the prompt, press 5, record the list name, then press # sign
- To start entering addresses into the list, press 5
- Enter the first address, then press # in the same way you address a message
- Continue to enter addresses, press # after each one
