Replaced Computer Re-Distribution Policy

Creighton College of Arts and Sciences

 

Faculty and Staff computers in the Creighton College of Arts and Sciences are replaced on a regular cycle.  The machines that are replaced are re-distributed in this manner:

 

Preparation

 

A replaced machine should have all user-generated documents, images, and files removed before re-distribution.  The responsibility for ensuring that this occurs is borne by the individual whose computer has been replaced, in cooperation with the technician who moves that person’s files to the new machine.  A faculty or staff member electing to transfer the files without assistance bears sole responsibility for deleting the files from the replaced machine.

 

A replaced machine should also have all user-installed software removed before re-distribution. 

 

University-licensed software that is machine specific – such as MS Office – need not be removed from machines that are remaining on campus.  However, machines to be distributed off-campus should have this licensed software removed.

 

The operating system that came with the machine, or for which the department subsequently paid for an upgrade, need not be deleted under any circumstances.

 

Department

 

Once the replaced machine has been prepared for re-distribution, the faculty or staff member to whom it belonged should contact his or her department chair, who will confer with other members of the department to determine if there is a need for that computer within the department (as a work-study station, part-time faculty machine, etc.).  If there is such a need, the department chair should make arrangements to have the machine moved to the appropriate station or office.[i]  Once the machine has been moved, the department chair should send a brief email to the PC Support Coordinator, indicating the serial number of the computer that was moved and its new location.  If there are tags on the replaced computer, they should remain on the machine.

 

College

 

If the department chair determines the department does not need the replaced machine, then she or he should contact the PC Support Coordinator, indicating that a machine is available for distribution on a wider basis.  Based on the age and condition of the machine, the PC Support Coordinator may make an announcement to other departments in the College, informing them of its availability.  Another department chair may then request the machine for his or her department, to be used and placed in the manner mentioned above.

 

If there are no departments interested in the machine, or if the machine is too old to be advertised, the PC Support Coordinator will make the machine available to faculty and staff members of the College for individual use, with the offer being made to the faculty or staff member who last used the machine.  Machines cleared for individual use in this way are offered free-of-charge.

 

University/Other

 

If there are no individuals in the College interested in taking the machine, it will then be offered to Creighton faculty and staff members in other University departments or to charitable organizations (as identified and approved by Creighton Purchasing).

 

Disposal

 

Finally, if there are no individuals or charitable organizations interested in the machine, the department chair should work with the PC Support Coordinator to arrange transportation of the machine to the loading dock at Purchasing (19th and California Streets) for possible re-use of parts or reclamation of minerals.

 

Record Keeping

 

In addition to removing appropriate files and software (see Preparation above), anyone preparing a machine for off-campus use or for recycling should remove the Creighton University inventory tags from the machine and send them, together with a written record of the relevant serial numbers (please do not remove any serial number labels from the machines), to the PC Support Coordinator for the College’s records.

 

Exceptions

 

Variations from these procedures can only be made with approval of the Dean.
